Coaches often price a package by picking a per-session number that sounds reasonable and multiplying. That method quietly ignores everything around the session: reading your notes beforehand, writing them afterwards, the follow-up email, the payment processing fee, the software, the share set aside for taxes. When those costs surface later, the package that looked fine turns out to pay far less per hour than expected.

This calculator starts from the other end. You state the hourly rate you want to keep for every hour of real work, including the unpaid minutes around each session. It totals the hours a package really takes, multiplies by your rate, then grosses the figure up for overhead so the target survives the fees and set-asides. It also shows the single-session price that makes the package discount genuine rather than invented. The math is transparent; the judgment about what your market will bear is still yours.

What the math assumes

  • Assumes the unpaid minutes you enter happen for every session in the package, so they are priced in rather than absorbed.
  • Overhead is applied as a share of gross revenue, which is how payment fees and tax set-asides usually behave; convert fixed monthly costs to a percentage of your expected revenue before entering them.
  • The recommended package price is the gross amount that leaves you your target hourly rate after overhead; it is a floor, not a market rate.
  • The single-session price is derived from the package price and your chosen discount so that the package discount is honest; it does not test whether clients will pay it.
  • No sales tax, refunds or unused-session breakage are modeled.

Frequently asked questions

Why is the recommended price higher than my current per-session rate times the session count?

Because it prices the prep and note time and grosses up for overhead. If you currently charge only for the hour in the room, the difference is what you have been giving away.

Should I enter a gross or net figure for the hourly rate?

Enter the amount you want to keep after the overhead share you entered. The calculator adds overhead on top so you actually end up with that figure.

What if I do not offer single sessions at all?

Set the discount to 0. The single-session figure then equals the per-session price and you can ignore it.

How do I estimate the unpaid minutes per session?

Time yourself for a week. Note when you open a client file before a session and when you close your notes afterwards. Most coaches find the figure is larger than they guessed.
